Receptionist and Administrator




Job Title and Location:


Receptionist and Administrator, Angel, London, EC1V


Role Purpose:


Reporting to the Office Manager the post holder will provide Receptionist cover and Administrative Support for the Axis Group.


Role Requirements:


We seek to fill this position at the earliest opportunity


Working 08:30 to 17:30 hours Monday to Friday, with an hours lunch break.


Full training will be provided for this role. The successful candidate will provide reception cover and administrative support at our Head Office in City Road, Angel (a short walk from the Angel Tube Station on the Northern Line).


Good communication skills with the ability to liaise with colleagues, customers and other key stakeholders are vital to ensure the effective and efficient management of our Head Office.


Having the appreciation of the need for safe working practices, with the ability to implement company policy and procedure and ensure it is adhered to at all times.


Specific Duties:


The successful candidate will be required to undertake the following tasks:


– To provide Receptionist and Switchboard duties


– Incoming and outgoing calls with effective message taking and transfer of calls


– Greeting all visitors including clients, regional colleagues and site based personnel


– Ordering incoming and outgoing couriers


– Booking taxis in a timely fashion


– All Post Room tasks including incoming and outgoing mail, including special, recorded and international items, using a franking machine


– To book all travel and hotel requests including flights, trains and ferries on a national basis


– To purchase stationary and equipment for all regional officers on a regular basis, whilst maintaining stock levels of regular items i.e. paper, toners, etc. and recycling of such items.


– Raise purchase orders, credit card purchasing, manage registers with comprehensive information, and resolve any invoice queries from orders placed.


– Provide administrative / secretarial support to the business as and when necessary to include:


– General typing, filing and archiving of documentation


– Assisting with monthly reports and deadlines


– Looking into cost saving purchasing and initiatives


– Providing ongoing HR admin support to the Group HR department, i.e. sick note management, mail merge distribution, ad hoc tasks etc.


– Any other roles and tasks as identified by the office manager to support the daily business requirements.


Essential criteria to meet:


– Be able to demonstrate a high standard of IT skills to use Email, Word and Excel effectively


– Have excellent communication skills, both written and verbal, demonstrating a positive approach


– Be smart and well presented at all times demonstrating high standards to colleagues and visitors


– Have excellent time management, organisational and planning skills


Desirable criteria to meet:


– Be able to work without supervision and also as a member of a team


– Have previous experience in a receptionist / administrative role


– Be experienced in the use of TimeGate, Pass and other software systems
