Travel Administrator
Hitachi Rail Europe Ltd is a leading manufacturer in total railway integration products, covering rolling stock, signalling and traffic management. Our Global Head Office is located in Central London which includes our Traffic Management System prototype and European Train Control System (ETCS) Simulator.
Our Class 395 Javelin trains currently in operation on the HS1 route have proven our capability in the UK based on a blend of British and Japanese technical expertise. The Intercity Express Programme and Abellio ScotRail franchise award will see our teams deliver over 200 new trains over the next three years. We are now looking to expand our operations further to build upon our global reputation for quality, reliability, innovation, design and technological leadership.
We are currently looking for a Travel Administrator to provide full time administraton to the reconciliation of HRE travel invoices.
Main Responsibilities
To act as the focal point for HRE business travel related services.
Responsible for:
- Filing, authorisation and administration of all travel forms.
- Compiling and distributing monthly travel expenditure reports for each department.
- Assist with new travel booker training and Concur set up.
- Booking travel for HRE colleagues.
- Liaising with web expenses and administering Concur traveller profiles and forms.
- Updating travel procedure and processes and updating travel bookers with any new relevant information from Concur and Eton.
- Reconciling travel invoices and statements for Finance.
- Provide additional travel approval support to Office Services Manager.
- Provide a professional and responsive travel service to internal and external clients.
- Assist as required with any other travel projects or administrative duties, as required by the Office Services Manager.
- Liaise with Eton, HEU and HTB on any daily travel requirements.
- To be aware of and actively promote and implement Hitachi’s ethos, culture and values.

Essential Requirements
- Have good knowledge of the Concur expense and travel booking system.
- Previous travel administration experience.
- Experience of reconciling invoices.
- Previous work experience and understanding of the business travel environment or travel agency experience.
- Good written and verbal communication skills
- Able to represent Hitachi in a professional manner at all times
- Position holder must be able to interface effectively with all levels of personnel both within and outside the company.
- Commitment to working as part of a team
Qualifications
- English & Mathematics GCSE’s or equivalent
Desirable Requirements
- Travel qualification
- Concur user certification
- Intermediate IT skills – typically Word, Excel, Powerpoint
- Customer service skills
- Training ability or experience
