Float PA (Maternity Cover)
An active and prestigious Investment Bank, focused in UK based green infrastructure projects is looking for a Float PA/Receptionist.
This is a FTC, covering maternity leave, likely to last until late October 2016.
Job Description
The Company is looking to appoint a Float PA/Receptionist to provide secretarial/administrative support to various departments and primarily but not limited to lunchtime reception cover. The successful candidate will provide proactive, effective and efficient PA / secretarial support to the teams in the London Office in West End.
Responsibilities
- Creating and amending documents quickly and accurately
- Switchboard – answering, directing calls as appropriate
- Meet and greet visitors
- Post and couriers – coordinating all aspects including responses to routine letters
- Working as part of a team to ensure effective administrative l cover is maintained
- Handling expense claims
- Organising travel arrangements and any other ad hoc duties as and when required.
- Liaising with other PAs with regards to work loads and assisting where possible
- Conduct research as appropriate.
- Diary management and arrangement of internal and external meetings
- Typing of correspondence, reports, presentations and any other documents to company standards of format and layout, ensuring high attention is paid to detail.
- Ensuring compliance with quality standards and the GIB’s policies in general
- Provide general administrative support to include, photocopying, binding and filing.
- Setting up equipment, catering and refreshments and managing calendars for meetings and bookings
- Arranging dial-in details and connecting participants on conference calls
- General office duties – Printing/binding documents, managing stationery & grocery orders
- Ordering of all office supplies
- Travel – coordinating all aspects of local/international trips
- IT trouble-shooting – in conjunction with in-house IT provider
Qualifications & Essential experience
- Previous experience in a PA and Reception role
- Experience of providing support for a team of senior personnel
- Good interpersonal skills, team focus and the ability to maintain good relations with a wide variety of people at all levels
- Initiative, sound judgement and discretion
- Good knowledge of Microsoft Office (MS Word, Outlook, PowerPoint, Excel)
- Well-presented with a professional manner
- Excellent written and oral communication skills
- Positive, can-do attitude
- Eager to learn, natural problem solver
- Demonstrated commitment to client service, an enthusiastic approach to work and the ability to proactively resolve issues
- A versatile approach with the inclination and ability to work co-operatively and flexibly and the willingness to learn and undertake new tasks
- A well organised and methodical approach and the ability to work with minimum supervision on a day-to-day basis
Remuneration
Salary £25,000 – £30,000 (based on 12 month annual salary)
