Building Operations Assistant


Background:


Shakespeare’s Globe is a unique international resource dedicated to the exploration of Shakespeare’s work and the playhouses for which he wrote, through the connected means of performance and education. Together, the Globe Theatre, Globe Exhibition & Tour and Globe Education seek to further the experience and international understanding of the dramatic arts in all its forms, but principally in relation to Shakespeare in performance. The Building Operations department is responsible for the delivery of a cost-effective, client-focused building management service at a day to day and strategic level for the Shakespeare’s Globe Trust, which includes responsibility for its two Theatres and surrounding buildings, and the other buildings in which it operates.


Overall Purpose:


The Building Operations Assistant is responsible for working as part of a team of four to deliver this service, providing support to the Head of Building Operations, the Building Operations Manager and the Building Operations Co-ordinator as required; the role also has specific responsibilities with regard to managing the allocation of tasks to third party contractors driven by a bespoke Fault Reporting System, and supporting the ordering and invoicing of work and suppliers


Principal Responsibilities:


  • Review all faults logged on the SGT Fault Reporting System on a regular basis throughout each day and to allocate jobs to external contractors and follow up progress as appropriate.

  • Support the Building Operations Manager in running the department’s ordering and invoicing systems: process and record purchase orders and invoices to ensure accounts are up-to-date and Finance can process payments in a timely manner.

  • Conduct daily ‘walk rounds’ of the building; to check that general housekeeping is of an acceptable standard, to monitor H&S procedures and raise any issues with the Building Operations Manager/ Co-ordinator in a timely manner.

  • Monitor equipment onsite, and order consumable stocks as required including: post room, photocopiers, stationery, tea/coffee and milk. ? Provide the fourth line out of hours emergency contact point, to assess the situation and call the appropriate resources to address, including liaison with senior management where required.

  • Undertake any other duties as reasonably required by management in relation to needs of the department.

Person Specification


Essential


  • Education to at least ‘A’ level or equivalent; with good grades in Maths & English at GCSE or equivalent.

  • Proven experience in a support/resourcing related role.

  • Interest in a Health and Safety-related role.

  • Good IT skills.

  • Good interpersonal and general communication skills.

  • Scrupulous standards of honesty and personal integrity.

  • A practical approach to problem-solving and the ability to relate sensitively to a wide range of people.

  • Strong organisational and administrative skills.

  • Self-motivated, and able to demonstrate initiative.

  • Reliable and conscientious with a positive and committed approach to work.

  • Resilient with a calm and focused manner in an emergency.

  • An ability to work as part of a team as well as unsupervised on own initiative.

  • A thorough understanding of health and safety issues.

  • A professional & confident manner.

Desirable


Previous finance experience – dealing with invoicing and purchase ordering.

Hours: 35 hours per week (exclusive of meal breaks) -Monday to Friday. There are no extra payments for additional hours worked.


Salary: c. £18,500 dependent on experience


Holiday: The annual holiday leave is 25 days per calendar year plus Bank Holidays (pro rata).
