JOB TITLE: Trainee Quantity Surveyor/QS
Based: Wembley, London
Salary: £28K- £35K plus benefits and scope for progression
RESPONSIBLE TO: Commercial Manager
JOBPURPOSE: The Assistant Quantity Surveyor will work towards taking responsibility for all commercial aspects on projects especially income and expenditure to maximise profit margins.
All The duties outlined below will eventually be undertaken as the individual becomes more experienced in the role
KEY DUTIES:
Pre Commencement on Site:
Attend formal handover meetings between pre and post contract teams
Preparation of Tender Summary identifying any savings or additional costs
Measurement of project to check quantities against tender allowances
Preparation of LVI sheets and issuing copies to Accounts Department
Preparation of material quantities and schedules, which should be forwarded to the Purchasing Department and construction personnel
Preparation of site/project management files
Preparation of tender documents for any subcontract works
Preparation of H&S documents for construction authorisation
Post Commencement on Site:
Correspondence
Monitor all site correspondence including letters, emails, progress reports, notice of delay, CVl’s RFl’s to ensure any additions to omissions to the contract sum are valued and recovered
Respond to any contractual correspondence to ensure they are protected as far as possible from contra charges or damages and highlight to others where necessary
Ensure any delay notices required to be issued under the contract are drafted and discussed with Line Manager prior submission
Sub-Contractor/Trade Contractors Payment
Checking of subcontractor payment sheets from approved booking in forms (incl. preparation where required)
Monitoring payments against LVI and variation budgets
Discuss and agree payments for all variations and non recoverable over and above the letting rate schedule with the construction team prior to items being paid
Value and notify Trade Contractor of their monthly certification of payment
Prepare Trade Contractors certification payment for approval
Commercial Management-Contract Knowledge
Ensure an awareness of our key responsibilities under the contract
Liaise with site construction team to ensure they have an awareness of the companies responsibilities
Commercial Management- Site Instructions/Variations
Ensure all variations are identified and have client’s instruction to allow payment
Prepare schedule of all items requiring a client instruction. Copy these to the construction team and submit to client
Value both site instructions and items requiring client instructions with full back up within our contract obligation, including any programme implications
Ensure regular agreement of site instructions with the client to limit liabilities
Commercial Management -Valuations/Payments
Prepare and submit the interim application for payment each month in line with our contractual agreement
Ensure we are properly valuing preliminaries, measured work, variations including recovery of additional preliminary costs/associated overheads and materials on site
Ensure rolling final accounts are maintained and submitted monthly to client teams, where required
Discuss and agree client’s certification to ensure fair payment
Ensure payments are received on time in accordance with the contractual payment terms
Ensure retention monies are released when due and that any performance/retention bonds are recovered to release our obligations
Commercial Management – Final Accounts
Prepare and discuss the final account for projects with Line Manager prior to submission to clients
Ensure final accounts are submitted with full substantiation in line with contract requirements
Negotiate and agree final accounts with parameters set by Line Manager
Commercial Management -Costs
To ensure that the costs on each project are regularly checked on DEMA and reconciled with the CVR each month
Highlight and resolve any discrepancies in costs prior to the monthly CVR sign off
Ensure labouring costs are monitored against tender/agreed allowances
Analysing LNR costs and liaising with the site team to prevent occurrence
Monitor all cost against the budget and advise if cost overruns become apparent
Commercial Management – Reports
Prepare monthly CVR Report including an accurate internal valuation and materials on site at the months end
Prepare Income Forecast on monthly basis
Prepare Costs To Complete and keep updated throughout the project
Prepare Preliminary Cost Analysis on monthly basis
Prepare 3 Monthly Workload Forecast and CashFlow Forecast
Prepare financial section of monthly JPR Report, where required
Prepare and maintain a Valuation/Payment Reconciliation Summary resolving any underpayments
Prepare and maintain a Schedule of Payments
Company Procedures
Meetings
Attend monthly internal meetings and take on active role to ensure a commercial influence in decisions
Attend regular meetings with client’s commercial team
Attend site progress meetings where required
