JOB DESCRIPTION – RECEPTIONIST


POST Practice Receptionist
RESPONSIBLE TO Reception Manager
ACCOUNTABLE TO Practice/Business Manager
JOB SUMMARY
Provide a comprehensive reception and administration service ensuring a high quality service to patients and the Practice team.


KEY TASKS:


Deal with face to face enquires from patients, in a polite and efficient manner
Greet patients on arrival at the surgery, giving information as required for their visit
Respond to queries as required, this may involve referral to other members of the practice team
Receive and respond to telephone calls using the Practice customer standards with appropriate greeting and identifying yourself by name
Book patient telephone appointments as required
Take messages for medical, nursing and management, follow up action as appropriate
Follow up patient queries received face to face or from the telephone. Ensure the patient is kept informed of progress on their enquiry
Alert appropriate member of medical or nursing team to any medical emergency within the Practice working to agreed procedures


Book patient appointments for the Practice, Walk in Centre and I Hub
Register all new patients in accordance with Practice procedures
Open up the office and close pm ensuring security and in accordance with agreed arrangements
Process FP22 forms received by the Practice
Record and process patient requests for home visits
Liaise with patients and Administrator to organise and confirm private appointments
Participate and deliver the repeat prescription programme for patients, this will involve maintaining the system when the lead person is absent
Maintain a clean safe and tidy work environment
Ensure correspondence is actioned appropriately, File correspondence as required


Using Practice software packages, log monitor and produce information for the medical and nursing teams and management as required
Organise patient appointments using EMIS
Scan clinical post into patient records using EMIS Clinical computerised system


  • Information storage and retrieval

Retrieve notes for clinical sessions held in the practice
Maintain paper patients notes library in accurate tidy alphabetical order, retrieving notes before surgeries and returning notes after use to the correct location in the filing system
Ensure patient information is current and accurate with up to date names and addresses and other personal information
Assist the medical and nursing team in providing medical records information to create reports, statistics as required
Trace missing patient records as needed


Ensure that the waiting area, reception area and patient notes library are kept tidy and free from hazards at all times. Work in accordance with health and safety regulations.


Participate in the shift system operated for the Reception team. A flexible approach is required. The Reception team undertake all the procedures for the service to ensure efficient and timely management of the Reception function.


The post holder will comply with the Health and Safety Policy of the Practice, taking responsibility for their own actions and alerting managers to any unsafe practices


8.Confidentiality
In the course of your employment the post holder will become aware of medical and other information relating to patients, visitors, and other members of staff or those related or associated with them. The post holder must not divulge such information to anyone other than those employees of the practice or others, clearly required to be aware of this information in order to fulfil their duties, and associated with the provision of the Practice’s services and authorised to receive it
