United Kingdom of Great Britain and Northern Ireland: Administrative Officer
Part time fixed term contract
Child Soldiers International is recruiting a part-time Administrative Officer to work for 20 hours per week in its London office. The position is initially for a fixed term period of 12 months.
Working hours will be spread over three to five days per week, as agreed with the Chief Operating Officer.
Salary:From £16,626 – £17,969 per annum (full time equivalent of £31,174 to £33,692), depending on experience.
Benefits:From 1 June 2016, eligible for a pension contribution by Child Soldiers International equal to 3% of salary.
Location: The post is based at the organisation’s office, near London Bridge.

Responsibilities:
Reporting to the Chief Operating Officer, responsibilities include:
- Managing general telephone and email enquiries.
- Organising logistical support to program activities.
- Liaising with contractors and maintenance of all supplier contracts.
- Procurement and management of office equipment.
- Coordinating maintenance and repairs to the office as required.
- Management of the organisation’s computer system (including network administration, back-up requirements, software, hardware, troubleshooting and liaison with IT services suppliers).
- Maintenance of the organisation’s website, liaising with consultants where appropriate.
- Liaising with public donors, handling communications as required by the organisation’s fundraising team.
- Assisting the fundraising team with grant applications and reporting, as required.
- Management of the organisation’s information resources and document filing systems, liaising as appropriate with the staff team.
- Ensuring compliance with office health and safety procedures.
- Distributing Child Soldiers International’s printed and electronic materials, including regular post, newsletters, and reports.
- Assisting with routine financial administration, including preparing cheques, monitoring invoices, banking donations and managing petty cash.
- As required, assisting the staff team in their duties.
Essential skills and experience:
- Ability to work independently and organise competing priorities.
- Ability to meet tight deadlines.
- Confident telephone manner and strong written skills.
- Experience of working in organisational settings, and carrying out administrative and organisational tasks
- Demonstrable internet, computer systems and office equipment skills.
- Proven information management skills and experience of maintaining filing systems.
- Experience of managing contracts and suppliers.
- Commitment to human rights and equal opportunities.
Desirable:
- Experience of working with a non-profit organisation.
