HR Assistant - Channel4 - London





Role Purpose

To support the HR team by providing a timely and accurate service covering the whole Hire to Retire process. Through first line support to our employees and line managers, maintenance of our HR systems and employee data and providing accurate/timely information to our outsourced suppliers.

Interfaces


Internal: HR Team, Employees (All levels), Finance, Technology and all other departments as necessary


External: Suppliers – Payroll, Benefits, Pension, and HR System Suppliers. External bodies for statutory returns. Health & Wellbeing advisors, Recruitment Agencies and job applicants, Training Providers, and Freelancers/Contractors.


Accountabilities


Recruitment :


To provide support to the Talent Manager and line managers during recruitment campaigns.


  • Setting up vacancies through our recruitment system

  • Utilising social media to ensure we get the best reach for our campaigns

  • Setting up recruitment agencies to have access to certain roles within our system

  • Setting up and showing line managers how to use our recruitment system

  • Managing the campaign in the system, ensuring appropriate communications and working with the HR Advisor/Business Partner or line manager to complete the recruitment process through to offer.

  • Support the HR Team and line manager with short-listing of candidates and assessment centres. Support 4Talent when needed with assessment and engagement for our schemes and organisation of candidates.

  • Providing end of campaign statistic – ‘Time to hire’, No of applicants, diversity information etc.

  • Become the recruitment system super user, working with the suppliers to discuss and manage potential changes and developments.

Learning and Development :

  • Support the members of the HR team responsible for internal learning and development by managing the training course directory within our training system.

  • Become the training system super user, logging queries and testing upgrades to the system.

  • Manage the contract administration for our independent training providers.

  • Provide reporting and statistical information around course completion rates, and course feedback.

Reward & Benefit:

  • Manage the benefit and pension administration process each month with our external supplier, providing reports and resolving employee queries.

  • Interaction with third party providers (salary surveys, data to flex providers, pension providers etc).

  • Provide support to the HR team and line manager with salary benchmarking exercises.

  • Support the HR team with annual wellbeing exercises and annual occupational health activities.

HR Operations:

  • First line employee and line manager support – via telephone and email (query resolution and manage escalation)

  • Support the HR Advisor/Business Partner with the ER process by note taking and producing reports.

  • Support the induction process for new joiners, including management of on-boarding.

  • Manage all administrative processes around annual pay process, salary changes, promotion, leavers, and maternities (including maternity meetings) and contract extensions, ensuring all appropriate information is supplied in a timely manner to our payroll supplier.

  • Exit Interview administration and trend insight and supporting alumni management.

  • Be the keepers of our HR info page – ensuring all information required by employees / managers is up to date and easy to find on our intranet.

  • Manage all our HR systems including, recruitment, on boarding, appraisals and training and holiday systems etc. Work with the suppliers to resolve queries, enhancements and provide input/insight into supplier review sessions.

  • Support the team during ad-hoc and annual projects.

  • Ensure that HR data is accurate and up to date; undertake any data cleanse exercises with the HR team and put in place a process that ensures that data stays accurate once it has been cleansed

  • Producing ad-hoc reports and analysis / surveys for HR team and or other teams.

  • To manage the day to day administration generated from the business or from annual/ad hoc projects.

  • Preparation of reports for authorisation meetings.

  • Champions diversity and inclusion in all aspects of HR activity

  • Relevant HR administration experience would be useful.

  • Strong knowledge of Microsoft Office, including Word, Excel, Outlook and Powerpoint.

  • Ideally previous knowledge of using a HR Systems.
