United Kingdom of Great Britain and Northern Ireland: Event Planner Assistant (Volunteer)
Job Brief
We are looking for a competent Event Planner Assistant to provide support in a well-organized and timely manner for our upcoming annual fundraising event from conception through to completion. You will need to act proactively and without guidance while understanding the needs and characteristics of people with whom you work with.
Responsibilities
▪ Assist with the planning, design and production of the event
▪ Conduct market research, gather information and share with Event Planner
▪ Propose ideas to improve provided services and event quality
▪ Assist with the organizing of facilities and management of all event’s details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc
▪ Handle requests and queries appropriately
▪ Maintain diary, arrange meetings and appointments and provide reminders
▪ Research into key contacts within academia, NGOs, press, local businesses to invite to the event and management of the contact lists
▪ Research into potential sponsors/donors for event including food, beverage, entertainment, silent auction donations and management of the contact lists
▪ Act as liaison for silent auction donors and manage delivery/collection of donations
▪ Support across event logistics such as coordinating event collateral and on-site set-up
Requirements
▪ Good role for a current student studying marketing or communications to gain hands on event experience or someone seeking work experience in events/charity sector
▪ London-based
▪ Proven admin or assistant experience
▪ Excellent time management skills and ability to multi-task and prioritise work
▪ Attention to detail and problem solving skills
▪ Excellent written and verbal communication skills
▪ Strong organisational and planning skills
▪ Fluent in English
