EA / Office Manager


To provide EA services, bid support, proof reading, manage the office, ensure IT and telecommunications run efficiently.


In this role within our growing and dynamic business, you will act as the key contact point to our internal and external stakeholders. You will be at the heart of everything the partners do.


You will also provide EA service to three entrepreneurial Partners, contributing across all parts of the business. This varied role will provide you with exposure to the operational functions including HR, Compliance and Legal.


To be successful in this position you will be highly organised with the ability to work independently and to deliver an excellent standard of client service. This is a small company and to succeed in this role requires someone who can handle a variety of task, some mundane and simple and other complex and challenging, all with competing deadlines.
You will enjoy working in a diverse environment.
Key responsibilities are split between:


EA Duties including:
? Diary management both internally and externally including room/venue booking
? Manage travel arrangements including hotels, trains, flights
? Taking responsibility for all internal postal deliveries/couriers.
? Welcoming visitors to the offices
? Arrange and prepare for key meetings i.e. booking venues, arranging dates / times with range of attendees, collating an agenda, preparing/distributing meeting papers and taking minutes as required
Office Services:
? General oversight of the office environment, including general building management and H&S liaison
? Ensure IT and telecommunications run efficiently
? Utilities and other office essential run smoothly
? Manage post, delivery services and main office calls (redirecting as required)
? Acting as a gatekeeper/redirection of incoming office calls across the business
? Source venues and arrange corporate events including Christmas Parties and Team updates
General Team Support:
? Presentation and written report support
? Bid support on written submissions
? Provide assistance on legal and compliance matters with administration and ad-hoc duties
? Support the HR function with the on boarding and induction of new starters; contract documentation, reference checking, security and systems access/passes, IT requirements
Person specification
Candidates will demonstrate previous experience in a similar role, excellent verbal and written communication skills.
You will need to be motivated, organised, professional and able to work under own initiative.
Excellent knowledge of Windows and MS office including Word, Powerpoint, Outlook, Excel
Experience in Publisher, Adobe, Access are all desirable
Excellent organisational skills with ability to prioritise workload to meet deadlines
Excellent communication skills both verbal and written
Excellent numeracy skills
Flexible approach to work, as the workload can vary at different periods
