Development Office Administrator-Term Time Only





A leading independent girl’s school in West London is looking to recruit a Development Office Administrator. This is a Term Time only position, although you will be required to work 10 additional days throughout the year. You will be responsible for managing and maintaining the integrity of the Department’s Raiser’s Edge database, and to provide administrative support for the Department. This is a good opportunity for someone who has previous experience of using Raiser’s Edge.


Office Administration


  • Answer all calls and field as necessary

  • Room bookings and catering requests

  • Diary management (minimal)

  • Order office stationery

  • Order all letterhead and Development Office printed stationery, keeping track of supplies

  • General administrative duties for the office including filing etc

Raiser’s Edge Database Upkeep


  • Overall responsibility for database management

  • Accurate inputting of all constituent data and other relevant information

  • Production of queries, templates and reports to support office’s informational and reporting requirements

  • Produce segmented mailing lists for Development Office letters, mail shots and email communications

  • General administrative duties to support smooth running of the Development Office

  • Liaise with the Registrar, School Office and Bursary staff members regarding data for new parents, pupils and leavers

  • Gift processing – responsible for tracking and filing all gift and pledge documentation

  • Produce and mail donor acknowledgement letters

  • Help devise and implement active strategies to improve both the number of donors

  • Handle email bounce backs and returned mail, adjusting records as necessary

Annual Giving


  • Assist with mail-outs: prepare address lists for both postal and email mailings

Reconciliation


  • Input all monthly, quarterly and annual regular gifts to all funds each month

  • Work with the Finance Department to reconcile Development’s figures with theirs and complete final reports

  • Run monthly reports for the Development Office’s records and print copies for the Finance Department

  • Ensure monthly deadlines for these reports are met

Other Gifts & Donations


  • Produce (from templates) and mail donor thank you letters for gifts when requested by Development & Events Officer

Public Lecture Series


  • Assist the Communications Officer and Development Director on the nights of the public lecture series with ad hoc tasks

  • Coordinate all catering and facilities requests for the event

  • Set up and run the bar at the drinks reception

  • Order books for speakers to sign at the drinks reception

  • Track the Sale or Return figures on book orders, re-pack unsold books and return to the publisher, coordinate the incoming invoices and credit notes

Concert Series


  • Assist the Communications Officer and Development Director on the nights of the concert series

  • Coordinate all catering and facilities requests for the event

  • Set up and run the bar at the concert

Core Key Skills:


  • Five GCSEs at grade A* – C, including English and Mathematics

  • 2 years minimum in a similar administrative role

  • Previous Raiser’s Edge experience advantageous

  • High levels of literacy, numeracy and accuracy

  • Excellent ICT skills, including Microsoft Word and Excel

  • Excellent verbal and written communication skills

  • Excellent attention to detail

  • Highly organised and efficient

  • Ability to work both within a team and independently
