Office Team Assistant - BBC - London
BBC Media Action is recruiting a Team Assistant to work in the London HQ to support the Office Manager.
Job Purpose:
The Team Assistant will provide administrative, financial, and logistical support to ensure the smooth running of the London office. Reporting to the Office Manager, the post-holder will support office health and safety compliance, act as a first point of contact for enquiries to Media Action and provide admin support to two senior managers, including travel booking, diary management and note-taking. In the Office Manager’s absence, the post-holder will deputise.
Role Responsibility
Main Duties:
1. Assist the Office Manager in H&S inspections, fire safety compliance and DSE.
2. Serve as a first aider and fire warden.
3. Help the Office Manager maintain a good working environment in the office including ordering stationery, kitchen and janitorial supplies.
4. Provide support to the Executive Director and Finance and Business Services Director in consultation with the Office Manager, including the arrangement of meetings and travel for duty.
5. Assist in organizing Board meetings, committees and events.
6. Assist in the efficient management of office systems and processes, including the annual leave and sickness absence records system.
7. Act as a first point of contact to Media Action, both in person, on the telephone and via the website and liaise with staff within Media Action and the wider BBC.
8. Assist in preparation of reports/documents including typing, preparing powerpoint presentations and researching background information.
9. Occasionally take minutes at meetings.
10. To carry out other tasks to assist the Office Manager in her/his role.
The Ideal Candidate
Previous experience as an office team assistant supporting board room executives.
Excellent knowledge of Microsoft package including Outlook, Word, Excel and PowerPoint.
Demonstrates ability to handle confidential information with tact and sensitivity.
Strong organisational skills.
Proven ability to prioritise work, meet deadlines and respond flexibly to rapidly changing priorities.
Attention to detail, the ability to work speedily and accurately under pressure.
Excellent communication skills with the ability to communicate information effectively to a wide audience both within and outside the organisation with diplomacy and confidence.
Desirable:
An interest in the international development sector and appreciation of the complexities of working in less developed countries.
