Accounts Assistant - Media - Progressive Role
My client is one of the largest marketing agency networks in the world. They are looking for a Media Accounts Assistant (Finance Assistant). The role will have close working relationships with the finance team, all agency staff and shared service centre team.
The primary functions of this role is to provide support the Finance function, including responsibility for month end tasks and timely submission to the group, and to provide regular reporting to the business.
KPI’s for the role will be accuracy, attention to detail, ability to learn new tasks quickly and adherence to monthly and weekly deadlines.
Job Responsibilities
You will be the primary accounts payable contact with our shared service centre and for agency staff. This will involve raising and reviewing purchase orders, manual (rush) payments, setting up new vendors and following up on invoice queries
You will prepare billing to other agencies and report on interoffice billing at month end. You will also assist with intercompany mismatch reconciliations.
You will support the billing team through regular review of jobs (projects) set up and look after the job closure process
At month end, you will monitor the overhead account ledgers and prepare monthly journals. Examples of journals include overhead accruals, prepayments and reclass postings
You will be responsible for month end reconciliation of some of the ledger accounts and compilation of audit support files
You will be the primary point of contact for agency staff regarding expenses
You will be responsible for freelance trackers to ensure timesheets have been completed before payment is made. You will report on freelance cost at month end
You will be responsible for preparing regular reports on time and billable hours for distribution to the whole agency
You will be responsible for preparing regular reports on billable and non-billable costs and purchase orders

Financial Expertise
Ideally you’ll have worked within a finance team before and be used to working with finance systems.
An advanced level of ability within Microsoft Excel is expected in this role.
It would be great if you’ve worked within a creative, media or design based agency so you understand the methods and structure of our internal teams and processes and are familiar with pass through or out of pocket expenses.
You’ll need to be able to multi-task between projects and day-to-day tasks, prioritise effectively and work in a fluid environment.
