2 year fixed term contract


Elrha, a hosted initiative of Save the Children, aims to improve humanitarian outcomes, through partnership, research and innovation. As Administrative Assistant you will work with the Executive Administrator to provide efficient and effective administrative support across the Elrha team.


We fund and support projects around the world and work closely with humanitarian organisations, the international research community, the private sector and other actors engaged in research and innovation. With staff based in London and Cardiff, this is an exciting time to join Elrha as the organisation expands and takes on new initiatives to improve humanitarian outcomes.


The Role


We are looking for a pro-active and diligent Administrative Assistant who will help us run our programmes smoothly and maximise our effectiveness. The role will primarily involve maintaining administrative systems and processes in support of Elrha’s work so that information is recorded accurately and is accessible to colleagues and managers. You will report directly to our Executive Administrator but will liaise on a day to day basis with other team members as needed.


Key Tasks:


  • Assist the Executive Administrator with the planning and organising of governance meetings and support the preparation of documents and reports for governance and donor meetings

  • Assist in organising monthly team meetings and help organise workshops and events by sourcing meeting rooms, arranging attendee travel, taking notes, etc.

  • Work with the Grants and Finance Officer to ensure that payments for grantees, supplier invoices and expenses are processed in a timely manner

  • Record information accurately in training records, procurement logs, raising of purchase orders, outlook calendars and movements tracker etc.

  • Work with the communications team to ensure information on the website is current and assist with the coordination of contributions to Elrha’s monthly newsletter

  • Assist with the coordination of staff travel ensuring that the Elrha team follows correct booking procedures and keeps within budget levels

  • Undertake basic research on the internet to inform Elrha’s work

The Ideal Candidate


To be successful you will have proven administrative experience, will be educated to A-level standard or equivalent and will have an understanding and interest in humanitarian work. In addition you will have:


  • Good interpersonal skills and the ability to build relationships at all levels

  • Good organisational skills including the ability to plan, prioritise and execute work to required standards and often to tight deadlines

  • A good level of verbal and written communication skills to work with a range of people

  • A good knowledge and experience of using word-processing, spreadsheets and email software

  • Experience of setting up and maintaining administrative processes and office systems

  • An interest in undertaking basic research on the internet

  • Ability to use own initiative to solve problems and generate new ideas

  • Capacity to work independently and as part of a team.
