Department Overview


Warner Bros. Home Entertainment Group brings together Home Video, Digital Video and Video Games to maximize the sales, marketing and distribution of Warner Bros. content through various retail and rental home entertainment outlets. WBHEG is responsible for the global distribution of Video content through DVD, Digital sell through and Transactional Video On Demand and is a significant worldwide publisher of Video games titles.


Primary Purpose of the Job:


To provide full administrative and secretarial support to the Managing Director.


This position requires a candidate, who is confident at communicating effectively at senior management level, is pro-active, efficient, organised and is able to work using their own initiative. Additionally the ability to juggle multiple tasks and to be one step ahead is essential. The candidate will also be exposed to confidential information therefore needs to be trustworthy.


Essential Job Functions:


  • Handling all administration generated via the MD office, including letters, reports, presentations and general correspondence.

  • Extensive diary management and close liaison with MD and direct reports.

  • Organising travel both UK and International – meetings, accommodation, flights, transfers.

  • Co-ordination of internal and external meetings; conferences and client dinners, liaising at different levels across the business/industry.

  • Involvement in organising company events such as Premieres, parties and other forms of customer entertainment.

  • Screening/gate keeper of all incoming calls for MD.

  • Photocopying, emailing, sending or receiving documents as appropriate.

  • Maintenance of an efficient filing system.

  • Co-ordination with the support staff for senior management team.

  • Attending weekly Management meetings (MD + 4 Directors), minute taking and following up on action points.

  • Raising invoices and purchase orders.

Selection Criteria
Relevant Previous Work Experience

:

  • Previous experience of working as a Personal Assistant at a senior level is essential.

  • Experience of working within a multinational company would be desirable.

  • Experience of event planning would be useful

Skills Required

  • Accurate audio typing skills, with good working knowledge of Microsoft Office Suite (Word/Excel/PowerPoint/Outlook) – 50wpm

  • Capable of establishing and maintaining strong working relationships at all levels and providing a professional, accurate and timely service at all times.

  • Strong organisational skills with a keen focus on details.

  • Outstanding ability to multi-task and constantly prioritise with an often conflicting workload whilst remaining calm under pressure.

  • Trustworthy and able to handle confidential/private issues with the utmost discretion.

  • Strong sense of urgency when dealing with priority items.

  • Willingness to use initiative to add value to the organisation.

  • High degree of accuracy and attention to detail at all times, even with the most routine tasks.

  • Excellent communication skills; both written and verbal.

  • Experience working in a fast-moving and very busy environment.

  • Flexible, resilient, tenacious and committed.

  • Able to work on own initiative, as well as part of a team.

  • Professional appearance/attitude.

  • Articulate and assertive.

  • Strong team orientation; ability to work closely and well with other team members in the office.

Education/Qualifications

  • Ideally educated to graduate standard or be of graduate calibre.
