We’re now looking for a super-efficient Production Administration Assistant to join the team in our incredibly-busy-but-fun-place-to-be-studio, manage a busy & varied work-flow and play a key role in ensuring a smooth production process. You will liaise effectively both internally with your colleagues, Ad Managers and Publishers and externally with suppliers and clients – keeping everyone involved updated throughout the production period.


About You:
You have excellent all-round communication skills.You’re super-organised with a strong ability to prioritise tasks and information. You can take a flexible approach to your work and have great attention to detail. You don’t need to have production-admin experience in the magazine publishing sector, but you are highly computer literate, with strong administrative skills and 6-months+ professional work-experience in an administrative role. You can manage a variety of tasks and remain unflappable under pressure!


Communication, organisation and attention to detail really are your key strengths, and you’re keen to progress an administrative career in a vibrant, creative company.


Core Responsibilities:


  • Working closely with the advertising sales teams, ensuring orders have been placed effectively on the FileMaker system.

  • Co-ordinate flatplan/s ensuring they are kept up to date for press day & approved by the Production Manager.

  • Traffic-management of all copy (for publications, digital editions & websites) – chasing clients for artwork, sending production briefs, proofing & liaising with our design studio.

  • Approving the magazine/s using printers online proofing system & digital editions via ipad.

  • Post production administration – checking magazine revenues against FileMaker system in preparation for invoicing.

  • Voucher copy/Promo list – ensuring the list is kept up to date with new clients/exporting relevant details out of FileMaker for marketing.

  • Reader enquiries – updating with monthly advertisers details/enquiry numbers & exporting, thus ensuring it goes live when the issue is published.

  • Completing the issue job bag & all post issue filing

  • Compiling monthly production report for the Production Manager regarding all titles to which your assigned.

  • Production queries – raising & assisting with production queries as directed by the Production Manager

  • Any other tasks required of you by the Production Manager.
