Admin Assistant - Facebook - London

At Facebook London we are seeking an experienced administrative assistant to join our growing team. The right person will be able to manage a heavy workload efficiently and have the ability to forge excellent relationships with co-workers across the globe. Being able to cope in an incredibly fast paced environment with a variety of personalities is essential as is being able to adapt to Facebook’s working culture with it’s many different methods of internal communication. We are seeking someone who is energetic, passionate about Facebook’s mission and willing to get stuck in and embrace the social aspect of the role.
Responsibilities


  • Coordinate internal and external meetings

  • Manage hectic and complex calendars

  • Prepare bi-monthly expense reports

  • Coordinate regular domestic and international worldwide travel

  • Organize space planning, offsite events, team dinners & various other social events

  • Work across various time zones, setting meetings on a global scale across multiple locations

  • Track & pro-actively post in internal groups, manage agendas for multiple team meetings

  • Be able to make decisions independently and prioritize meetings on behalf of the Director accordingly

Requirements

  • At least 4+ years of full-time, recent administrative experience directly supporting 1 or more Director level

  • Excellent computer skills and comprehension of Outlook, Zoho/Quip knowledge a plus

  • Incredibly organized with absolute precision to detail

  • Ability to prioritize multiple assignments

  • Excellent communication skills

  • Strong scheduling and calendar management skills

  • Strong travel coordination skills

  • Knowledgeable about organizing small and large off-site events

  • Experience with scaling space management and planning to accommodate regular growth amongst teams

  • Experience working with sales and marketing teams a plus

  • Thrives in a fast-paced atmosphere

  • Ability to hit the ground running and take charge of the position

  • Passionate about Facebook

  • An understanding of how best to assimilate in a new group

  • Must be flexible and able to quickly react to last minute changes

  • Constantly searching for new and exciting ways to strengthen team programs

  • Be self-directed and take initiative

  • Ability to effectively interact with all levels of the organization

  • Active knowledge of how to engage team members and managers to make quick and effective transitions

  • Proven establishment of solid connections to build successful relationships

  • Experience at a high-tech company preferred

  • Flexible to work outside of 9-5 office hours

  • BA/BS preferred
