Team PA - Luxury Property -West End




THE COMPANY:

Our client is a high end property company based in the West End. They are looking for a PA/Team Sec to provide confidential and varied personal secretarial and administrative support to the Finance Director, Company Secretary and finance team.


THE ROLE:


• Sort and collect post each morning.
• Open department’s post, stamp and distribute.
• Collate and circulate Board and Committee meeting papers via Diligent Boardbooks electronic system.
• Communicate with executive and non-executive directors on a regular basis.
• Keep the treasury diary/files up to date with the regular rollover/repayment/drawdown requests and liaise with the treasurer and FD.
• Assist with company secretarial tasks, e.g. registration of documents on the GEMs system, submitting annual returns, etc.
• Manage stationery orders with assistance of another senior secretary.
• Travel and expenses management for department.
• Prepare papers for meetings. Book meeting rooms and ensure all necessary equipment and catering is supplied.
• Collaborate with the other secretaries within the Group e.g. assisting one another, cover absences etc.
• Take external enquiries, including receiving general telephone calls and filtering/passing on as appropriate.
• Attend to routine correspondence, drafting replies as necessary. Use judgement and initiative to action items requiring immediate action.
• Typing of general correspondence, minutes, reports etc.
• Ensuring all messages and correspondence are dealt with efficiently and promptly.
• Ensure all work carried out has due regard to health & safety requirements, whilst adhering to all company policies and procedures.
• Ensure filing of documents and correspondence is kept up to date.
• Meet and greet external visitors to the department.
• Any other duties as might be reasonably required.


THE PERSON:


Knowledge, skills and experience required


Essential


• GCSE ‘A’ Level standard or equivalent.
• Proficient in Microsoft applications and the use of modern office technology including Excel, Word, and Outlook.
• Substantial secretarial experience at middle/senior management level.


Desirable


• Knowledge of electronic board books.
• Knowledge of the Property Industry.
