ADMINISTRATOR/RECEPTIONIST
Job Description
The role of Administrator/Reception is a fast-paced role. The role is interesting and varied. You shall have excellent written and oral communication skills along with a working knowledge of managing students’ records. You will be approachable, friendly and have a strong presence of mind. This is an all-round role that suits someone who is willing to learn and demonstrate self-leadership.

- Demonstrable experience and/or a qualification in Microsoft office packages (Word, Excel, Publisher) and management information systems.
- Experience of clerical/administrative duties including filing, record keeping etc.
- The ability to work as part of a team–involving learners, tutors, management team and external clients.
- The ability to work under own initiative when necessary prioritise workloads and to meet deadlines.
- The ability to communicate effectively with learners and members of staff.
- A polite and professional telephone manner.
- A keen eye for detail and experience of producing work of a high standard of quality and accuracy.
- Good analytical skills.
- Ability to function effectively in an environment where interruptions are inevitable.
Duties
- Providing administrative support to the faculties and management
- Meeting and greeting visitors and students/staff
- Recording updates using SIMS
- Filing, scanning and photocopying
- Producing documents and reports using MS Office application including Word, Excel, PowerPoint
- Providing support to the Head of Academics in managing student Individual Learning Plans (ILPs)
- Typing and sending out letters/emails
- Covering of busy reception, answering routine telephone and face-to-face enquiries and signing in visitors
- Managing student attendance
- Minute-taking of meetings
- Continuously looking for errors/deficiencies in day-to-day operations and improving them by taking initiative
- Handling/filing invoices

- Experience in the education/training sector
- Ability to adjust working speed according to the ebb and flow of activities of a typical day
- Proactive attitude and willingness to learn
- Taking responsibility voluntarily for the well-being of the college
