GOAL is an international humanitarian agency dedicated to alleviating the suffering of the poorest of the poor in the developing world. Since its foundation in Ireland in 1977, GOAL has responded to virtually every major natural and manmade disaster in the developing world. GOAL currently works in thirteen countries in the developing world. GOAL has an annual budget of approximately £50m and is supported by a range of institutional donors including the Irish Government, UK Government, USAID, the United Nations and the European Union. GOAL also raises funds from the general public. GOAL UK is part of the global GOAL organisation.


General Description of the Role


The Finance & Administration Officer will be responsible for managing the donations database, arranging payment of GOAL UK expenses, preparing monthly cash books and bank reconciliations, managing all administrative requirements of the GOAL UK London office. The successful candidate will also provide administrative support to the rest of the GOAL UK team.


Responsibilities:


Finance


  • Accurately manage the donations/fundraising database with all new donor details, and donations received, on a timely basis each month.

  • Ensure donations received are acknowledged formally in writing

  • Provide the fundraising manager and management team with information and reports from the donations database, as required to assist them in their functions.

  • Manage Gift Aid claims

  • Prepare monthly cashbooks and bank reconciliations for each bank account (by 5th working day of following month).

  • Arrange approval and payment of supplier invoices on a timely basis.

  • Manage a UK Specific Procurement chart, ensuring compliance by all staff

  • Manage the office petty cash

  • Manage the relationship between GOAL UK and its bankers, including ensuring that GOAL UK’s bank mandates are up to date; monitor bank account transactions; liaise with bank relationship managers; and raise and follow-up on queries promptly.

  • Establish and maintain high quality filing systems for all financial records

  • Ensure compliance with all Companies House and Charity Commission requirements

  • The reporting line for the finance element of this role is to the Senior Financial Accountant in GOAL’s HQ in Dublin. Database completion, cash books and bank reconciliations are all due to be reported to Dublin Finance Dept. by the 5th working day of the following month.

Finance & Administration Officer (Full-time) – GOAL UK (continued)


Office administration


  • Act as receptionist for the office (dealing mainly with telephone callers)

  • Manage all office supplier accounts including, telephone line, internet, cleaning services, health Insurance, pensions, company insurance, rent and bank accounts.

  • Ensure all office supplies etc are sufficient for immediate requirements

  • Seek speedy resolution of all IT issues or requirements through GOAL’s IT Dept. in Dublin

  • Administration of documents shared with the UK Board including the yearly accounts, company insurance, etc.

  • Process expenses for UK personnel

  • Deal with the post

Other


  • Provide strong administrative support to the GOAL UK team, particularly with respect to provision, manipulation and presentation of data.

  • Act as main point of contact with most events in regards to logistics, payments, tech requirements. Assist in the preparation and execution of fundraising events and initiatives, which may require attendance outside of normal office hours.

  • Any other tasks delegated by GOAL management.

Person Specification


  • Enthusiastic self-starter with ability to work on own initiative, multi-task, plan and prioritise workload

  • Very strong administrator with excellent written and verbal communication skills

  • High level of computer literacy with MS Excel, Word, Powerpoint, Office, and database(s)

  • Very good attention to detail.

  • Ability to work as part of a team, take direction, and equally effective at working alone

Qualifications & Experience


  • Third level qualification

  • Charity sector experience an advantage

  • Minimum of three year’s general administrative experience.

Terms:


  • Temporary position covering maternity leave. Expected duration is six months but this is subject to change. Full-time role: 9am to 5.30pm with one hour for lunch.
